2. Author Copyright

Authors retain copyright in their submitted and published work, unless a separate written agreement states otherwise.

Submission to The Hinksey Review does not transfer copyright ownership to Hinksey Labs, Ltd. or The Hinksey Review.

Authors are responsible for ensuring that they have the right to submit the work and grant the licences described in this Policy and in our Terms of Use.

Where a submission has multiple authors, the submitting author confirms that all co-authors have approved the submission, agree to the applicable terms, and authorise the submitting author to act on their behalf in connection with submission, review, revision, publication, licensing, and related communications, and — where the submitting author so confirms on the submission form — to give consent on their behalf to receive information about programmes, competitions, events, and other Hinksey opportunities. Each listed author may withdraw that consent independently at any time, without affecting the submission or its review.

3. Licence Granted on Submission

By submitting work to The Hinksey Review, authors grant Hinksey Labs, Ltd. and The Hinksey Review a worldwide, royalty-free, non-exclusive licence to use the submission for purposes connected with operating the Review.

This includes the right to:

• receive and store the submission;
• copy and format the submission for administrative and editorial purposes;
• screen the submission for plagiarism, citation integrity, AI usage, originality, authorship, and other integrity concerns;
• anonymise the submission for peer review;
• share the submission with editors, peer reviewers, Review Board members, advisors, staff, contractors, and service providers involved in the review process;
• request revisions, clarifications, supporting materials, or source information;
• retain editorial, administrative, review, and integrity records; and
• otherwise use the submission as reasonably necessary to assess it for publication.

This submission-stage licence does not mean that the work has been accepted for publication. It does not give The Hinksey Review ownership of the work.

4. Licence Granted on Publication

If a submission is accepted for publication, authors grant Hinksey Labs, Ltd. and The Hinksey Review a worldwide, royalty-free, non-exclusive, perpetual licence to publish, reproduce, distribute, display, communicate, archive, preserve, index, promote, and make available the work in any format or medium.

This includes the right to:

• publish the article on The Hinksey Review website;
• include the article in current or future issues of the Review;
• preserve the article in digital archives;
• share article metadata with indexing, archival, discovery, repository, citation, library, and database services;
• create article pages, issue pages, citation records, abstracts, metadata, and downloadable files;
• include excerpts, titles, abstracts, author names, and related metadata in newsletters, social media, promotional materials, reports, and communications;
• maintain the article as part of the scholarly and public record; and
• make technical, formatting, typographical, metadata, layout, and accessibility adjustments that do not materially alter the author's argument without consultation.

This publication licence allows The Hinksey Review to keep accepted work available over time, even if an author later publishes the work elsewhere, changes affiliation, or requests deletion of non-public personal data, subject to applicable law and our correction, removal, and retraction policies.

5. Open Access Licence

The Hinksey Review is an open-access publication. Unless otherwise stated at the point of publication, articles published by The Hinksey Review are made available under the Creative Commons Attribution 4.0 International Licence (CC BY 4.0).

Under CC BY 4.0, users may share and adapt published articles, including for commercial purposes, provided they give appropriate credit, provide a link to the licence where reasonably possible, and indicate if changes were made.

Authors acknowledge that publication under CC BY 4.0 permits lawful third-party reuse of published articles under the terms of that licence. The Hinksey Review is not responsible for lawful third-party uses of published work that are permitted by the applicable Creative Commons licence.

6. Attribution Requirements

Users who reuse published articles from The Hinksey Review should provide appropriate attribution.

A suggested attribution format is:

Author Name(s), "Article Title," The Hinksey Review, [Issue/Year], licensed under CC BY 4.0.

Where possible, attribution should include:

• the author name or names;
• the article title;
• The Hinksey Review as the original publication venue;
• the issue, volume, year, or publication date where available;
• a link to the original article where available;
• a reference to the CC BY 4.0 licence; and
• an indication of whether changes were made.

Attribution should not suggest that The Hinksey Review, Hinksey Labs, Ltd., the author, or any affiliated institution endorses the reuse, adaptation, product, service, organisation, or user unless express written permission has been given.

7. Author Republication and Sharing

Authors may share, deposit, republish, adapt, or build upon their published work elsewhere, subject to any applicable licence terms and third-party rights.

Where authors republish or share a work that was first published in The Hinksey Review, they should give appropriate credit to the original publication.

A suggested author republication note is:

This article was originally published in The Hinksey Review.

Authors may usually share links to their published articles, include them in portfolios, university applications, personal websites, CVs, LinkedIn profiles, institutional repositories, and other academic or professional contexts.

Authors are responsible for ensuring that republication elsewhere does not breach the policies or agreements of another publication, institution, repository, competition, platform, or third party.

8. Prior Publication and Simultaneous Submission

Prior publication does not automatically disqualify a submission to The Hinksey Review. However, authors must clearly disclose whether the work, or a substantially similar version of it, has previously appeared elsewhere, including in a school journal, online platform, competition, institutional repository, personal website, preprint server, or other publication.

Authors are allowed to submit their work elsewhere. However, authors are responsible for ensuring that submission to The Hinksey Review does not breach any exclusivity rule, publication agreement, copyright assignment, competition rule, institutional policy, or other obligation.

The Hinksey Review reserves the right to determine whether a previously published, simultaneously submitted, or substantially similar work is suitable for review or publication.

9. Third-Party Materials

Authors are responsible for ensuring that all third-party materials included in a submission are lawfully used.

Third-party materials may include, without limitation:

• images;
• figures;
• charts;
• tables;
• datasets;
• survey results;
• interview materials;
• photographs;
• screenshots;
• maps;
• logos;
• trade marks;
• extended quotations;
• copyrighted text;
• proprietary reports;
• unpublished materials; and
• materials obtained from websites, databases, companies, institutions, or other sources.

Authors must obtain any permissions, licences, consents, ethics approvals, or releases required to include third-party materials in their submission or publication.

If third-party material cannot be published under CC BY 4.0, authors must clearly identify that material and disclose any restrictions before publication. The Review may require removal, replacement, additional attribution, permissions evidence, or a specific rights notice for such material.

10. Data, Interviews, and Personal Information

Authors are responsible for ensuring that data, interviews, survey responses, personal information, confidential information, and sensitive information included in their submission are collected, processed, used, and published lawfully and ethically.

Authors must obtain any required consent from research participants, interviewees, organisations, schools, companies, or other relevant parties.

Authors should anonymise or aggregate personal information where appropriate and must not submit confidential, private, unlawfully obtained, or restricted information unless they have a lawful basis and all necessary permissions to do so.

The Hinksey Review may require authors to remove, anonymise, clarify, or provide evidence of permission for data or personal information included in a submission.

11. AI-Generated or AI-Assisted Content

Authors remain responsible for the copyright, originality, accuracy, and integrity of all content submitted to The Hinksey Review, including content created or assisted by artificial intelligence tools.

AI tools must not be used in a way that infringes third-party rights, produces fabricated citations, misrepresents authorship, or substitutes for the author's own intellectual contribution.

Authors must disclose AI usage as required by our Research Principles and submission instructions.

The Hinksey Review may reject, remove, correct, or retract work where AI usage creates copyright, originality, authorship, accuracy, ethical, or integrity concerns.

12. Review, Editorial, and Internal Materials

Peer review comments, editorial notes, reviewer identities, editorial communications, Review Board materials, internal guidance, screening records, decision records, and unpublished manuscripts are confidential unless we state otherwise.

Authors, reviewers, editors, and contributors must not copy, publish, distribute, identify, disclose, or misuse confidential review or editorial materials.

Reviewers must not use unpublished ideas, data, arguments, methods, or materials from manuscripts under review for their own benefit or for the benefit of any third party.

13. The Hinksey Review Website, Brand, and Editorial Materials

The Hinksey Review name, Hinksey Labs name, logos, branding, website design, editorial materials, submission guidance, templates, policies, page layouts, graphics, and other materials created by or for the Review are owned by Hinksey Labs, Ltd. or its licensors, unless otherwise stated.

You may access and use these materials for personal, educational, research, or submission-related purposes only.

You may not copy, reproduce, modify, distribute, sell, commercially exploit, register, misrepresent, or use The Hinksey Review or Hinksey Labs name, logo, brand, website materials, editorial materials, or design assets without prior written permission, except where allowed by law or by an applicable licence.

Publication in The Hinksey Review does not give authors permission to use The Hinksey Review or Hinksey Labs branding in a way that suggests endorsement, partnership, employment, sponsorship, affiliation, admission, scholarship, or official representation beyond the fact of publication.

14. No Endorsement Through Reuse or Publication

Publication by The Hinksey Review does not mean that Hinksey Labs, Ltd., The Hinksey Review, editors, reviewers, Review Board members, affiliated institutions, or third-party organisations endorse every claim, opinion, conclusion, dataset, product, service, company, policy, or organisation discussed in the work.

Similarly, reuse of published materials under CC BY 4.0 must not imply endorsement by The Hinksey Review, Hinksey Labs, Ltd., the author, or any affiliated institution unless express written permission has been given.

15. Corrections, Retractions, and Removal

The Hinksey Review may correct, clarify, update, remove, or retract published work where appropriate, including where there are concerns involving:

• plagiarism;
• copyright infringement;
• third-party rights;
• authorship disputes;
• fabricated or falsified data;
• fabricated citations;
• undisclosed AI usage;
• significant factual errors;
• ethical issues;
• confidentiality breaches;
• privacy or data protection concerns;
• legal risk;
• reputational risk;
• breach of our Terms of Use, Research Principles, Peer Review Guidelines, or this Policy; or
• other publication-integrity concerns.

Authors must promptly notify us if they become aware of a copyright issue, permission issue, significant error, authorship concern, ethical issue, or other problem affecting submitted or published work.

Where appropriate, we may preserve a record of corrections, expressions of concern, removals, or retractions to maintain transparency and the integrity of the scholarly record.

16. Copyright Complaints and Takedown Requests

If you believe that material published by or submitted to The Hinksey Review infringes your copyright or other rights, please contact us at team@hinksey.review.

To help us review your request, please include:

• your name and contact details;
• identification of the copyrighted work or rights you claim have been infringed;
• identification of the material on The Hinksey Review that you believe is infringing;
• a link or clear description of where the material appears;
• an explanation of your rights in the material;
• any supporting evidence or documentation;
• a statement that the information in your notice is accurate; and
• any other information reasonably needed to assess the request.

We may remove, restrict access to, investigate, contact the author, request further information, issue a correction, or take other action where appropriate.

Submitting a takedown request does not guarantee removal. We may decline requests that are incomplete, unsupported, legally unfounded, abusive, or inconsistent with applicable law, fair dealing, fair use, licence terms, public-interest considerations, or publication-integrity principles.

17. Requests from Authors to Remove Published Work

Authors may request removal of their published work by contacting us at team@hinksey.review.

We will consider removal requests in light of applicable law, author rights, privacy concerns, copyright obligations, publication integrity, the open-access licence, archival considerations, citation records, and the scholarly record.

Because published articles may form part of the public scholarly record and may already have been indexed, archived, downloaded, cited, or reused by third parties under the applicable licence, removal from The Hinksey Review website may not remove all copies or references from the internet or third-party platforms.

Where full removal is not appropriate, we may consider alternatives such as corrections, clarifications, metadata updates, author-name updates where legally required, expressions of concern, or retractions.

18. Permissions Requests

If you would like to use The Hinksey Review branding, website materials, editorial materials, templates, unpublished materials, or other content not covered by an open-access licence, please contact us at team@hinksey.review.

We may grant, refuse, limit, revoke, or condition permission at our discretion.

19. Relationship with the Terms of Use

This Policy forms part of the wider legal and editorial framework of The Hinksey Review.

If there is a conflict between this Policy and the Terms of Use on a copyright or licensing matter, this Policy will generally apply, unless the Terms of Use expressly state otherwise.

If there is a conflict involving submission conduct, eligibility, peer review, privacy, user behaviour, dispute resolution, limitation of liability, or general website use, the Terms of Use or Privacy Policy may apply as appropriate.

20. Changes to This Policy

We may update this Copyright & Licensing Policy from time to time to reflect changes in our publication model, legal requirements, licensing approach, editorial practices, or operational needs.

When we update this Policy, we will post the revised version on our website and update the "Last Updated" date.

Your continued use of The Hinksey Review, submission of work, participation in peer review, or publication with the Review after an updated Policy is posted means that you acknowledge the updated Policy.
